Give the project one clear owner

Name one person to approve the recipient list and coordinate questions with your gifting partner. Other colleagues can contribute artwork or dietary preferences, but a single approved version of the list helps avoid duplicate shipments and missed recipients.

For your 2026 program, decide when new hires join the list and whether employees on leave should receive a gift. An internal rule is easier to apply consistently than a series of last-minute decisions. Keep an agreed process for additions after the list is finalized.

Collect only the details needed for the delivery

Confirm a current address rather than assuming an older employee record is still correct. Ask about apartment or suite information and whether the recipient expects to be away during the proposed arrival window.

Arrange a secure method for sharing the final shipping list with your fulfillment partner. Home addresses belong in that agreed workflow, not a public quote form, an open spreadsheet link or an AI chat. Limit access to the people managing the project.

  • Recipient name and complete delivery address.
  • Any delivery details the selected carrier actually requires.
  • Approved gift variation, using a simple reference where possible.
  • An internal contact for address corrections and shipment questions.

Keep the experience consistent, with room for individual needs

A shared message and a recognizable presentation can connect the gifts even when some contents differ. Ask about dietary needs early, then review available alternatives and product information before approving the selection.

Do not infer preferences from someone’s name or location. Let employees share the information they want the organizer to use. A gift described as suitable for a dietary preference still needs a product-by-product review; do not assume every item is appropriate for every recipient.

Compare home, office and mixed delivery

Individual home shipping creates a separate package and label for each destination. Office delivery can consolidate the shipment, but someone on site needs to receive and distribute the gifts. A mixed plan may suit a company with both remote and office-based employees.

Larger consolidated programs may call for pallet freight. Confirm the receiving address, dock access, delivery appointment and any unloading requirements before quoting it. Do not treat a pallet allowance as interchangeable with a per-home shipping allowance.

Plan the response to an imperfect delivery

Agree on who watches the tracking and who decides what happens if a package is delayed, damaged or returned. Keep any recipient communication helpful and specific, and confirm additional charges before arranging a replacement.

Merry Finch can coordinate individual home, office and larger shipment plans as part of a custom proposal. Order tracking can be shared through the client portal; the updates available depend on the carrier connection and service. Freight may need separate updates.

After the project, review the exceptions and correct the process before the next occasion. A carefully maintained list and a clear handoff are useful foundations for an ongoing employee gifting program.
